Your server stores the files. Coordra shows what needs action.

Coordra is a lightweight action register for architecture and interior design firms — tracking review-ready drawings, consultant inputs, vendor updates, site updates, client approvals, revisions, and assigned actions without changing the firm’s folder system.

Coordra is not for logging every file save. It is for project-control moments: review, coordination, sharing, approval, revision, and follow-up.

Three views

See the same project from three views.

Owner / Principal Architect
Sees all project activity, employee logs, documents ready for review, client comments, and pending approvals.
Employee / Designer
Sees assigned projects, adds work logs, and submits documents for review.
Client
Sees only client-visible documents, comments, approvals, and revision requests.

Built by an architect

Built by an architect who has worked inside real firms.

Coordra came from a workflow problem I kept seeing in architecture offices: files were stored somewhere, but decisions were scattered across WhatsApp, email, shared drives, office servers, and verbal updates.

The goal is not to replace how firms work overnight. The goal is to give the principal architect one clear place to see project status.

Best for

Small firms that want clarity without complexity.

Small architecture studios
Interior design firms
3–20 member teams
Firms using office servers, Google Drive, Dropbox, or OneDrive
Principal architects who want project visibility without heavy ERP software

What it helps you track

The workflow signals that keep a project moving.

  • Review-ready drawings
  • Consultant inputs needing coordination
  • Vendor and shop-drawing updates
  • Site updates from the contractor
  • Client approvals and revision requests
  • Assigned actions and follow-ups
  • Activity history of project-control moments

Consultant coordination

Consultants can keep sending files the way they already do.

In many architecture projects, consultants send drawings, comments, site photos, and updates through email, WhatsApp, Drive links, or phone calls.

Coordra does not force consultants to log into another portal. Your team can record consultant inputs, link them to the project, mark what needs review or coordination, and keep track of what action was taken.

  • Structural drawings received
  • MEP comments pending coordination
  • Site photos received from contractor
  • Vendor/shop drawing links
  • Consultant clarification requests
  • Superseded consultant inputs

Your server stores the files. Coordra shows what needs action.

Comparison

Your tools store information. Coordra tracks project control.

WhatsApp / Email

Good for quick messages; Coordra keeps approvals and revisions connected to the project.

Drive / Dropbox / Office Server

Good for storing files; Coordra tracks which document needs review, approval, or revision.

Generic PM tools

Good for tasks; Coordra is built around documents, visibility, approvals, and project records.

Heavy ERP / Firm OS

Good for large firms; Coordra starts lightweight with one project.

Comparison

Why not just use a spreadsheet or Notion?

Spreadsheets and Notion can list project updates. Coordra turns those updates into assigned actions, revision records, client approvals, and project history.

Spreadsheet / Notion

  • Blank tracker
  • Manual structure
  • No built-in client-safe view
  • No approval/revision workflow
  • No role-based project access by default
  • Easy to forget updates
  • Difficult to export a clean approval record

Coordra

  • Project-specific action register
  • Owner, employee, and client views
  • Assigned actions
  • Drawing/revision status
  • Consultant/vendor/site input tracking
  • Client approval and revision records
  • Approval/revision export
  • Built around architecture project-control moments

Coordra is not a better spreadsheet. It is a project-control layer for architecture workflows.

The problem

Project information is scattered.

Small architecture and interior firms often manage project files, comments, approvals, and revisions across WhatsApp, email, Google Drive, office servers, and spreadsheets. This makes it difficult for the principal architect to know what changed, what needs review, and what the client approved.

The solution

A lightweight action register, not another file system.

Coordra is not for logging every file save. It is for project-control moments: review, coordination, sharing, approval, revision, and follow-up.

  • Only drawings and inputs that need a decision are registered
  • Consultant, vendor and site updates get an owner and a next action
  • Owners see what is waiting on the firm today
  • Clients see only approved or shared items
  • Comments, approvals, and revisions stay connected to the project

How it works

Five steps, no migration.

  1. 01Keep files exactly where they are — server, Drive, Dropbox or OneDrive.
  2. 02Register only the drawings and inputs that need a decision.
  3. 03Team marks what is review-ready, coordinated, or waiting on someone.
  4. 04Owner shares selected records with the client.
  5. 05Client comments, approves, or requests revision — and it stays on record.

Server-based firms

How Coordra works with office servers.

Many architecture and interior firms already use office servers or NAS folders.

Coordra does not replace that system.

Your drawings, BIM models, PDFs, and working files stay on your server. Coordra keeps the action record around them: what is review-ready, what needs coordination, what was shared, approved or sent back for revision — and who owes the next step. Nothing needs to be logged file by file.

If you are outside the office, Coordra can still show what changed and what needs attention. Opening the actual server file remotely depends on your firm’s VPN, remote desktop, or cloud-sharing setup.
